JOB SUMMARY
We are seeking a PROVIDER SUPPORT ASSISTANTfor the Division of Plastic Maxillofacial and Oral Surgery located in Durham, NC, to perform administrative responsibilities of a complex and confidential nature in support of major departmental activities to maintain efficiency in organizational operations.
JOB DUTIES AND RESPONSIBILITIES
Administrative Support
Maintain faculty CV updates
Provide support for CME courses and meetings for registrations and on-site work, and follow up
Schedule on and off-site meetings; Coordinate travel, lodging, and registrations
Track CME and travel expenses monthly to remain within budget
Submit reimbursement and check requests accurately and timely
Clear procurement card purchases accurately and timely
Share Division support responsibilities with colleagues to maintain office supplies, mail collection, telephone coverage, and other Division-wide needs
Telephone Responsibilities
Obtain complete information on incoming calls (name, MRN, telephone number, date call was received and reason for call)
Retrieve calls from the call queue and assist or direct callers to the appropriate person or group (Appointment center, clinic, nurse, and provider) in a timely fashion. When paging a provider, list your name and telephone number on the page
Retrieve voicemails the same day, record all information and date and time of the message and route accordingly
Letters / Clinic Notes
Print/Route letters and clinic notes that are routed to you within 24 hours of receipt
Enter Recalls based on path letters and update Health Maintenance
Schedules
Manage Faculty Administrative Outlook calendar and Surgical Posting calendar. Coordinate time away, meetings, OR block release, and case authorizations.
Coordinate clinic schedule change forms within 48 hours of receipt to align with administrative time away, meetings, and OR case postings.
Review and release OR block in a timely and accurate manner.
Post OR cases accurately. Communicate with patients and pre-auth team as needed.
Make sure all patients are bumped in a timely fashion
Review schedules one week in advance to identify cancellations and potential scheduling errors, communicate to scheduling center as appropriate
Review schedules and templates for errors
Referrals
Send referrals to outside facilities for labs, studies, tests, etc. as requested by providers.

Schedule clinic or procedure appointments when necessary
Inbasket and E-mail Messages
Respond to Inbasket and e-mail messages within 48 hours and complete any non-urgent requests within 5 to 7 days or within the specified timeframe given. For urgent requests, it is required to complete the task as soon as possible or within the specified timeframe given.
Ad Hoc Assignments: as necessary and related to the scope of your work
JOB ELIGIBILITY REQUIREMENTS
High school diploma or equivalent education required.
One-year experience of clerical or general office support required.
JOB HOURS
The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
